Purge for .myox - MYOB® AR20xx

Do you:

  • want to reduce your file size by purging closed transactions from your MYOB® .myox company file but can't find this function in MYOB®
  • notice your file is getting too big to run efficiently?
  • find 3rd party software such as Ostendo is no longer 'talking' to MYOB?

We have developed our own process for purging old data from AccountRight .myox files, similar to the purge function in Classic v19 MYOB®. No account or card balances or reconciliations will be affected.

We can purge almost all prior year data from your .myox file. In most cases this will significantly reduce your file size and allow it to run more efficiently and respond faster. A purge will not solve all the issues with AR2024. Unfortunately due to how it has been designed and developed, AR2024 will never be as fast as MYOB® v19. However reducing your file as much as possible will make it more manageable. There is no doubt that AR2024 copes better with a smaller file than it does with a larger file.

While the technical maximum file size is 4 GB, almost all users find processing and reporting speeds slow down significantly as the file gets larger (> 1.5 GB). Some users find that once their file reaches about 2 GB, Ostendo stops writing to MYOB. Same thing happens with a number of 3rd party integrations, or updating is intermittent.

Our unique .myox purging process is offered as a service we perform, rather than as a tool you can download and use. It is a multi stage process and requires various tests after each stage.

For an assessment and no-obligation quote, simply upload a backup of your file at the link below. Then send (via Contact Us or email) the Administrator password, and any specific concerns you have with the file. Our software will analyse your file and check for a number of known errors and other issues (such as card and account balances, duplicate records etc).

In most cases a purge takes between 10-20 hrs and will need to be processed over a weekend.

What will be purged?
If the purge date is 30 June 2022, all invoices that were closed on or before 30 June 2022, and the associated transactions will be purged (invoice, payments, credit/debit notes applied). Transactions such as GJ, Spend Money, Receive Money and transfers are closed on the date they occurred, so all these dated on or before 30 June 2022 will be purged. If however a transaction is required for some purpose such as for reconciliation, it will remain in the file. Open Invoices will remain in the file irrespective of transaction date.

As with MYOB's purge function all Quotes and Orders will be unaffected.

Will Account/Card/Inventory Balances change?
No balances will be affected, this includes account, card, inventory, leave etc. Purging is process developed by MYOB in all v19 products for the specific purpose of keeping the file size down. The process removes transactions without changing any balances. It is not the same as deleting transactions. MYOB refused to add a Purge function to AR2024, so we developed our own based on the v19 purge process.

Prior to submitting a file for purging, you should ensure any accounts you reconcile have been reconciled up to the purge date. Also that things like payroll liabilities that need to be paid have been paid for all prior year transactions.

The purge date cannot be later than the end of the last financial year as set in your MYOB® file. For example if the current financial year ends on 30 June 2022, the latest purge date is 30 June 2021.

Cost
Cost varies, we have software that analyses the file and determines how many transactions need to be purged and how long it will take. Each transaction takes between 0.5 and 0.8 secs to purge. You will be provided an option to purge 1, 2, 3, etc years of data, depending on how many years of data are in the file.

It's almost Happy Hour here so I wanted to give you a Day 1 Report:
Office accounts manager: - Normal to experience data exception and 'Accountright has to close' errors constantly requiring closing and logging back in. Normal day would be approx 5 to 8 times depending on the tasks undertaken. Today, ZERO

Accounts Clerk 1 & 2: - Same as above plus extended period of 'watching the wheel go round' for minutes at a time. Today, 2 data excepts, no watching wheels turn and no 'has to close' issues.
